The Chief Coordinator is the overall point of coordination and is responsible for ensuring that the entire event runs smoothly. They oversee all departments, coordinate with vendors and clients, manage the event timeline, resolve on-ground issues, and ensure that every planned element is executed properly from load-in to load-out.

The Event Executive is responsible for the active execution and supervision of the assigned event departments. This includes coordinating with Shadows, F&B Manager, Hospitality, Logistics, Rituals, Artist Management, Production, RSVP, Showflow, Runners and other operational teams, while ensuring that tasks are completed on time and communication between departments remains smooth. They act as the operational bridge between the Chief Coordinator and the ground team.

Event Volunteer
Supports guests and tasks with calm precision.
Trained support teams for entry, wayfinding, backstage movement and event-day errands. Approximately 1-2 years experience.
An Event Volunteer is the supporting force of the event team, assisting wherever required across different departments. They help with guest assistance, coordination, last-minute requirements, departmental tasks and general on-ground operations, working under the direction of the concerned Event Executive or department head. They provide the extra manpower required to keep the event smooth and responsive.

Shadow
A Shadow stays beside the bride or the groom throughout the wedding.
A Shadow stays beside the bride or the groom throughout the wedding. They carry what is needed, keep track of timings and outfit changes, pass messages to the family and the event team, and make sure the bride or groom is never left waiting or looking for help. Every wedding has a Shadow for the bride and one for the groom.

Porter / Helpers
Handles luggage, materials and on-ground movement.
Porters/Helpers are responsible for the physical movement and handling of items required during the event. This includes guest luggage, pooja or ritual items, hampers, materials and other goods, as well as assisting with loading, unloading and shifting requirements whenever needed. Their role is primarily focused on ensuring that physical movement and support requirements are handled efficiently.
